QUILT AUCTION POLICIES
  1. The CLSH Quilt Auction is a friendraising and fundraising event conducted annually to benefit programs and services of the Clifton Lutheran Sunset Home.
  2. A steering committee of Sunset Auxiliary volunteers and staff plans, organizes, and manages the event under the supervision of the President of CLSH.
  3. Auction items are primarily quilts and comforters donated by individuals and groups. Auction items, in addition to quilts and comforters, may be accepted at the discretion of the Auction Committee.
  4. Cash and personal checks are accepted in exchange for items auctioned. Credit cards may not be used.
  5. Fair market value is assigned to the items based on size and estimation of the amount of materials.
  6. Full payment for purchase of items shall be made the day of the auction.
  7. Previewing or review may be made prior to the auction as scheduled by the committee, but no sealed bids or pre-purchasing are allowed.
  8. Items purchased may be picked up within a few minutes of purchase.

AUCTION SUB-COMMITTEES AND RESPONSIBILITIES
Each member of the Quilt Committee has a specific responsibility on a sub-committee. The sub-committees are:
  • Publicity and Promotion
  • Food
  • Facilities
  • Quilt Review and Auction
  • Quilt Catalog

CLSH staff members will assist as necessary. Each sub-committee is expected to plan and organize its activities, as well as recruit additional volunteers. The primary responsibilities of the sub-committees are listed.

  • Publicity: To develop a brochure or flier detailing the auction. To promote and publicize the event through news stories, radio, television, and fliers. To identify and secure sponsorship for advertising.
  • Food: To secure donations of food and supplies. To assist in the preparation and sale the day of the auction.
  • Facilities: To coordinate with the sub-committees to provide sufficient equipment. To secure or provide location and amenities for the event. To coordinate with other community groups.
  • Quilt Review and Auction: To determine the order of items to be auctioned. To ensure that each auction item is properly identified (has attached identifying card.) To set up auction items for display at the preview and/or auction.
  • Quilt Catalog: To compile a catalog which accurately identifies the auction order. To acknowledge receipt of items to donors. To ensure that follow-up information is provided to donors (such as thank you notes, sale price, etc.)
